Notice on Awarding the First Batch of Postgraduate Degrees in 2025

To All Relevant Colleges (Centers, Research Institutes, Departments, etc.):

In accordance with the university's schedule and regulations for the conferment of graduate degrees, the first batch of graduate degree conferral work is planned to be carried out before mid-June 2025. The relevant matters are hereby notified as follows.

1. Thesis Review

Thesis submission for approval into Management System

A. Upload Information in " Submit Academic Dissertation" Section:

Verify the data related to your degree award and save the information. Then, print to generate the "Basic Information Form." This form summarizes your academic profile and is an essential part of the submission process.

B. Submit the "Basic Information Form" and Supporting Documents:

After completing all the above steps, attach a soft copy of the "Basic Information Form," along with required supporting documents such as HSK and academic card and email them to ieao@ujs.edu.cn with a request to verify your training program. Once verified, you will be granted access to a portal where you can upload the soft copy of your thesis in the system.

C. Upload Blind Review Format of Dissertation:

In the "Submit Academic Dissertation" section, upload the electronic version of your dissertation in the blind review format (PDF file). Apply to submit your academic dissertation, and ensure that both your supervisor and the school have confirmed it. Note: The Degree Office will use the exact copy you upload for external review.

D. Students who have successfully submitted are requested to join the WeChat group for the 2025 June Graduation Batch for further information. Please refer to the QR code shared in the attachment.

Academic Misconduct Detection of Theses

All graduate theses will be subject to academic misconduct detection (details are provided in Attachment 9). Only those with satisfactory detection results can proceed to the review stage.

Verification of the Authenticity and Reliability of Thesis Content and Data

Before submitting the thesis for review, supervisors should carefully verify the authenticity and reliability of the content and data in the theses they supervise. The verification materials should be kept on file at the college for inspection. If any academic misconduct such as falsification, plagiarism, etc., is found in subsequent review, defense, or sampling inspection stages, it will be dealt with strictly in accordance with relevant regulations.

Thesis Review and Submission

The review and submission of doctoral theses will be jointly organized by the college and the Graduate School, implementing a combination of "Internal review" and "blind review" systems. The internal review will be organized by the college, which will determine one expert (or an expert group) based on the research direction of the doctoral thesis to form a review opinion (signed by the expert). The review result will be filed with the Degree Office of the Graduate School. When submitting the doctoral thesis review and approval form, the college must attach a copy of the review opinion that has passed the "internal review" to proceed to the "blind review" stage. The "blind review" will be implemented by the Graduate School.

For professional master's theses, the review can be conducted in either a "one internal review + one blind review" or "two blind reviews" format. If a college opts for the "internal review + blind review" method, it must submit its internal review plan to the Graduate School for record before the review process begins; otherwise, the original "blind review" method will be applied.

Academic master's theses will be reviewed through the "blind review" method.

For graduate students who have reached or exceeded the maximum study period, their theses must be preliminarily reviewed by no less than five experts. Only after the preliminary review is passed and approved by the academic leader can the thesis proceed to the review and submission stage.

Each college should conduct pre-review, pre-defense, and panel review work for theses of various types of graduate students based on its actual situation.

Thesis Review and Approval Processing

Except for doctoral theses, the review and approval of all other types of master's theses will be processed by the college as a unit. The thesis review and approval form can be downloaded from the "Graduate Management Information System." The review and approval of theses will generally be conducted offline. For individual doctoral students who are unable to return to school, prior communication is required.

Processing hours: Monday afternoons and Thursday mornings.

To ensure the smooth progress of thesis defense and degree conferral, the deadline for thesis review and approval submission for this batch is: Thursday, April 24, 2025, for doctoral theses, and Tuesday, May 6, 2025, for master's theses. Theses submitted after the deadline will still be processed for review and approval, but the graduate students must sign relevant commitment letters.

Synchronous Sampling Review of Theses

The initial review of all types of master's theses will be conducted by the college, with the Graduate School carrying out a synchronous sampling review (the list of sampled theses will not be disclosed, and those exceeding the maximum study period will be fully covered). Any unsatisfactory sampling review results will be promptly fed back to the relevant college, which will handle the situation in accordance with the "Jiangsu University's Handling Measures for Graduate Theses with Unsatisfactory Sampling Review Opinions."

Feedback and Abnormal Handling of Thesis Review Opinions

Once the review opinions are complete, the college's graduate secretary will provide feedback to the thesis author or supervisor. For theses reviewed by the Graduate School, the Degree Office will transmit the review opinions to the college in electronic format.

In case of abnormal review results, each college should promptly work with the Graduate School to handle the situation in accordance with the relevant provisions of the "Jiangsu University's Regulations on Thesis Review for Graduate Students."

2. Thesis Defense

Thesis defenses for graduate students should generally be held publicly on campus and conducted in accordance with the "Jiangsu University's Implementation Rules for Degree Conferment." In case of special circumstances requiring an online defense, it can only be conducted after approval. The defense date should be determined after receiving all "approval for defense" review opinions. Any defense arranged without thesis review opinions or when review experts disagree with the defense will be invalid.

Before the defense, graduate students should further revise and improve their theses based on the review opinions and submit a detailed revision report (if there are different academic views or opinions, the reasons should be stated). Only after the thesis revisions have been confirmed by the supervisor and approved by the college can the defense procedures be processed. The application for doctoral thesis defense requires approval from the Graduate School.

3. Submission of Degree Conferment Information

Before applying for thesis review and approval, graduate students must fill in their personal academic degree electronic information in the "Graduate Management Information System" (for detailed operating instructions, see Attachment 3) and submit the signed "Academic Degree Conferment Information Form" to the Graduate School for record. This information will serve as the primary basis for the production of degree certificates and the submission of degree data to the National Degree Network. Therefore, each college should remind graduate students to fill in the information carefully and accurately.

4. Distribution of Degree Certificates

Before receiving their degree certificates, graduate students must complete all graduation procedures and upload the archived version of their thesis to the Graduate School's website.

Certificate recipients should collect their certificates within the specified time. For those who fail to do so within the specified period, the weekly Thursday afternoon (excluding holidays) within one month will be the certificate collection time.

Certificate Replacement

If a certificate needs to be replaced due to incorrect information, the graduate student must submit a written application for certificate replacement to the Graduate School during the next batch of degree conferment work. Applications for replacement will not be accepted within the same batch.


5. Documents required for evaluation:

d. Handbook [Must be filled and signed] [If you are outside China and do not have a training book, see Annex for soft copy]

e. Transcript [Will be prepared and attested during verification of documents]

f. Academic card [master: at least 10 times. PhD: at least 15 times]

g. Plagiarism report [Signed by school secretary]

h. HSK certificate 

i. Thesis [PDF and should not contain any information regarding Supervisor or publications. Students must verify information in the system and upload the thesis and other information in the portal prior to submission as mentioned above]

l.Publications:

For PhD Students: PhD students must download the first page of their article from the WEB OF SCIENCE Document Search - All Databases (webofscience.com). 

For Spring 2021 and Earlier Registered Master Students: Master students who registered in Spring 2021 or earlier must provide proof of a valid ISSN for their publication. This proof can be obtained from The ISSN Portal https://portal.issn.org/.

For Autumn 2021 and Later Registered Master Students: Master students who registered in Autumn 2021 or later must provide proof of their publication being indexed. This proof can be obtained from either Scopus (https://www.scopus.com/sources) or the WEB OF SCIENCE Document Search - All Databases (webofscience.com).
